When content workflow management has been implemented on a campbell.edu website, Campbell University web policy is that each page in the web content management system (CMS) requires a page’s author to submit the page for review before updates are published to the public website. All edits must be reviewed and approved by a site’s primary contributor or a member of Campbell University Communications and Marketing (UCOMM).



Content Types & Workflow Requirements

Landing pages

(also called home pages or main pages)

These pages may only be edited and published by UCOMM’s Web Communications and Visual Identity staff. Edits made by non-UCOMM staff will not be published to any public campbell.edu website.

Frequency of Edits: Landing pages are reviewed by UCOMM’s Web Communications team on a quarterly basis, or by the request of primary contributors or administrators.

Static content

(content that requires infrequent updates)

Published content pages may be edited by Campbell University web content contributors who have completed training and Campbell University Communications and Marketing.

New static content pages may only be created and published by UCOMM’s Web Communications team. 

Frequency of Edits: Static content pages must be reviewed at minimum once prior to each long semester and once prior to the first summer session. Example review due dates would be: January 5, April 5, or August 5.

Dynamic content

(includes calendar events)

Dynamic content is content that is event-driven or date-related such as Calendar.

Calendar events may only be published and edited  by Campbell University web content contributors who have completed training and UCOMM staff. In most cases, a calendar event should be added at a minimum of two weeks prior to an event.

Dynamic content must include the following per post:
  • A description of the event
  • A link to a page for more information and/or a registration link
  • Date, time and location information
  • Selection of at least one persona
  • Selection of at least one global category


Content Workflow User Types

For sites with content workflow enabled, there are three user types:

  • Author: Person who can make edits to existing content pages, but cannot publish edits.
  • Editor: Person who can approve, make and publish edits to existing content pages.
  • Administrator: Person who can create new pages, and approve, make and publish edits to all existing pages.


Content Workflow Process

Step One: Initiate Workflow

When web content contributors are making edits to a site with content workflows enabled, the first step as a page’s author is to click “Make Revision” to initiate the workflow process. An editor may also initiate the workflow then assign the edit request to an author of the page.

Step Two: Make Edits

Contributors should make edits as they would in any normal circumstance. When edits are done, click Submit to Workflow.

Step Three: Submit to Workflow

Once a contributor clicks Submit to Workflow, a window will appear that includes a form with various fields you will need to complete. Once options have been selected, the edits are submitted to an editor or administrator for review.

Step Four: Approval & Publishing

During approval and publishing an editor reviews, may or may not make final edits, and finally signs off on (publishes) the web page. An editor may also re-assign the task to another editor, abort (delete) the submission, or send it back to an author for additional edits.
